How to find the correct cleaning-product SDS
- Read the container. Record the brand, full product name, manufacturer product code, and formulation. Keep punctuation and leading zeros in the code.
- Separate identifiers. An MPN identifies the manufacturer’s item; a store SKU identifies a listing; a UPC identifies a selling unit. The SDS may use a chemical-family code rather than the full case SKU.
- Open the official source. Start with the directory above. Search by product name first if the complete case part number produces no results.
- Choose country and language. Select the document intended for your location. English text alone does not confirm that a document is intended for the United States.
- Check Section 1. Compare its product identifier, supplier, and recommended use with the container. Confirm concentrate versus ready-to-use, aerosol versus liquid, and any fragrance or formulation variant.
- Check the revision. Compare the issue/revision date and version with the manufacturer’s current listing. A recent download date does not prove a recent document revision.
- Save the complete document. Keep all pages and any component sheets together. Record the source URL and review date so the document can be checked again.
If identifiers conflict or the portal only offers a different formulation, pause the match and contact the manufacturer or supplier. Do not rename an unrelated SDS to make it appear to cover your product.

Find product documents by cleaning task
Start with the work you are planning, then gather documents for each exact product involved. This is a purchasing and document-selection guide; application instructions come from the manufacturer’s label and technical sheet.
- Floor cleaning, stripping and finishing: Gather a separate SDS for the cleaner, stripper, finish and sealer. Consult their technical sheets and your flooring manufacturer’s care guidance to check the intended surface and maintenance system. A finish SDS does not cover the stripper used before it.
- Restroom and toilet-bowl cleaning: Match the exact cleaner, including product code and formulation. Keep its label directions with its SDS. Do not treat Kling, Stix or another bowl cleaner as interchangeable because they share an application.
- Disinfectants and sanitizers: Gather the product label and SDS for the precise concentrate, ready-to-use liquid, wipe or aerosol. Use label information to check the intended application; keep the EPA registration number with your purchasing record when present.
- Carpet and upholstery care: Separate pre-spray, extraction cleaner, spot remover and deodorizer documents. Match the item used in each step, then consult technical information for the intended fabric, equipment and process.
- Hand soap and dispenser refills: Match the refill’s product name and code. Collect its available safety information and dispenser instructions separately. Physical fit alone does not confirm that a refill belongs in a dispensing system.
- Paper products and cleaning equipment: Look for product specifications, compatible dispenser information and operating manuals. These documents answer different questions from a chemical SDS.

SDS, product label, and technical data sheet: which do you need?
- SDS: Hazard communication, handling, storage, exposure controls, first aid, and emergency information for the identified chemical.
- Product label: Product-specific directions and restrictions. For EPA-registered disinfectants, consult the label for approved uses, dilution, required contact time, and other application directions.
- Technical data sheet (TDS) or product information sheet: Manufacturer specifications, application guidance, performance details, and equipment or surface compatibility where provided.
- Ingredient disclosure: A separate ingredient-information resource where offered; it does not replace the SDS or product label.
- Equipment manual: Operating and maintenance instructions for a machine or dispenser. An equipment manual is a different document from a chemical SDS.
For disinfectant use, follow the applicable product label. The SDS is not proof that a cleaner is approved to disinfect a particular surface or address a particular organism. See EPA’s label-reading guidance and EPA’s disinfectant guidance.

A practical document checklist for janitorial teams
Use this workflow when adding a product to your commercial cleaning program or reviewing purchasing records. Adapt it with your workplace safety lead.
- Record the container’s brand, product name, manufacturer code, and where the product is used.
- Record the purchased pack separately: container size, units per case, store SKU, and UPC if available.
- Capture the SDS title, country, language, revision/version, official source URL, and the date you checked it.
- Keep the corresponding product label, technical sheet, and relevant equipment instructions with your purchasing reference.
- Identify who owns document review and how workers will access the current SDS during their shift.
- Review documents when the supplied product, formulation, manufacturer information, or published SDS changes. Do not assume a yearly review alone addresses every change.
- Flag unmatched documents, private-label substitutions, and renamed products for manufacturer confirmation.

Safety Data Sheet and product-document FAQs
Is an SDS the same as an MSDS?
MSDS means Material Safety Data Sheet, an older term you may see on legacy files. SDS is the current standardized format used for hazard communication. Look for the current manufacturer SDS rather than relying on an old MSDS just because its name resembles your product. OSHA explains the SDS format.
Can one SDS cover several container sizes?
It may, when the manufacturer identifies them as the same formulation covered by that document. Do not assume this from a shared brand. Check the product identifiers and ask the manufacturer to confirm coverage if the package code is not shown.
Is the concentrate SDS also correct for a ready-to-use cleaner?
Do not assume that it is. Manufacturer resources may distinguish concentrate and diluted or ready-to-use forms. Select the document for the exact product you have; request clarification when a portal lists multiple versions.
Does “not classified as hazardous” mean no instructions are needed?
No. Read the supplied document and label for the actual product. Classification language is not permission to ignore handling instructions, training, or the intended use.
Do floor pads, paper towels, and dispensers have the same documents as chemicals?
Document needs differ by item. A manufacturer may offer specifications, article information, compatibility guidance, or a manual rather than a chemical SDS. Use the resource appropriate to the exact item; do not invent an SDS when none is supplied.
Can the SDS tell me a disinfectant’s contact time?
Use the EPA-registered product label for use directions and contact time. The correct time can depend on the use or organism named on the label. Do not substitute a generic cleaning guide or another product’s instructions.
What if the product was renamed or the manufacturer changed?
Send the current container details and the document you found to the responsible manufacturer or supplier. Ask whether the identifier and formulation are covered. A new brand name or similar packaging is not enough to confirm continuity.
What if a document link is broken or my product is missing?
Return to the official manufacturer’s document search or contact us with the brand, product name, MPN, country, language, and a photo of the label if available. Do not use a document for a different chemical while waiting.
Can I use this hub for emergency instructions?
For an emergency, follow your workplace emergency procedures and use the emergency information on the exact product’s label/SDS. Our customer-service contact is for document and order assistance, not an emergency response line.
Why does the SDS use a shorter number than my case SKU?
A manufacturer may use a formulation code on an SDS and a longer item number for the container size or case pack. The Kling and Stix examples above show both. Keep the codes together and use the manufacturer’s product page to establish the relationship; do not infer a match from a shared number prefix alone.
Does an SDS have an expiration date?
A revision date identifies the document version; it is not automatically an expiration date. Check the manufacturer’s current source and any changes to the supplied product. A recently downloaded older file is still an older revision.
What documents should I request when substituting a cleaning product?
Request the substitute’s exact product label, current SDS and available technical information before completing the document match. Record the substitute’s own identifiers. A document for your previous product does not establish the new product’s formulation, directions or suitability.
Can I keep a QR code or bookmark instead of checking the file?
A shortcut helps locate information, but confirm that it reaches the right product, country and language. Plan document access with your workplace safety lead, including what workers should do if a phone, internet connection or manufacturer link is unavailable.
What should purchasing teams record for wipes and multi-part products?
Record the exact wipe formulation and selling unit, not just the container count. For kits or multi-part products, check whether the manufacturer supplies separate documents for individual components. Keep the complete relevant set together.
